Terms of Service

1. The Service

Ledger Tome converts PDF bank and credit card statements into structured files (CSV, Excel, QIF, QBO, JSON) using a proprietary AI processing pipeline. We may add, change, or remove features over time.

2. Eligibility and accounts

To use the Service you must be at least 16 years old (or the age of digital consent in your country, whichever is higher) and able to enter into a binding contract.

You are responsible for:

• The accuracy of the information you provide at signup.
• Keeping your password and authentication factors secure.
• All activity that occurs under your account.

Notify us at info@ledgertome.com if you suspect unauthorized access.

3. Acceptable use

You agree not to:

• Upload documents you do not have the right to process, or that infringe anyone's privacy or intellectual property.
• Use the Service for unlawful purposes, including fraud, money laundering, or processing materials prohibited by applicable law.
• Reverse-engineer, decompile, scrape, or attempt to extract the underlying models, prompts, or systems behind the Service.
• Probe, attack, or interfere with the Service's infrastructure, or attempt to bypass authentication, rate limits, or anti-abuse controls.
• Create multiple free-tier accounts to circumvent usage limits, or use disposable, automated, or shared mailboxes to do so.
• Resell, sublicense, or expose the Service as a backend to third parties without written permission.

We may suspend or terminate accounts that violate these rules, with or without notice depending on severity.

4. Plans, tokens, and billing

The Service is offered in tiered subscriptions and one-time token packs. Current pricing, token allowances, and feature differences are listed at ledgertome.com/pricing .

• Free tier. New accounts receive a one-time signup bonus of 10 tokens, plus 3 tokens per week. Free-tier accounts are subject to the abuse controls described in Section 5.
• Paid subscriptions. Billed monthly in advance through our payment provider, Stripe. Subscriptions renew automatically unless cancelled.
• Token packs. One-time purchases that add tokens to your balance. Tokens from packs do not expire while your account is active.
• Taxes. Prices on the pricing page are exclusive of taxes unless stated otherwise. We collect billing-address and (where applicable) business tax-ID information at checkout to calculate any taxes we are required to charge.
• Currency. Charges are made in the currency shown at checkout.

You authorize us and Stripe to charge your payment method for the amounts you owe.

5. Free-tier abuse controls

To keep the free tier sustainable, we apply automated controls that detect and limit patterns associated with free-tier abuse — for example, attempts to create many free accounts to circumvent usage limits, or signup activity that resembles automated or fraudulent behaviour. We do not publish the specific signals we use, so that they remain effective.

If your signup is blocked, the error message will let you know. Contact us at info@ledgertome.com if you believe your signup was blocked in error and we will review it.

6. Cancellation and refunds

• You can cancel your subscription at any time through the Stripe customer portal (linked from your billing settings) or by contacting us. After cancellation, your subscription remains active until the end of the current billing period; you will not be charged again.
• We do not refund partial billing periods. Tokens that were already granted for the current period remain available until the period ends.
• Token packs are non-refundable once tokens have been consumed. Unused tokens from packs purchased within the last 14 days may be refunded on request, at our discretion.
• If we materially change these Terms or our pricing in a way that disadvantages you, you may cancel and request a pro-rated refund of the unused portion of your current period.

7. Account deletion

You may delete your account at any time from your dashboard or by emailing info@ledgertome.com . The Privacy Policy describes what happens to your data on deletion.

We may delete or suspend accounts that have been inactive for an extended period, or that violate these Terms.

8. Your content and our use of it

• You retain all rights to the PDFs you upload and to the structured files we produce from them ("Your Content").
• You grant us a limited, non-exclusive, worldwide licence to process Your Content for the sole purpose of providing the Service to you (including uploading, storing temporarily, running through our extraction pipeline, and delivering the output).
• We do not use Your Content to train AI models, ours or anyone else's.
• Bug reports and feedback. When you submit feedback or a bug report from inside the Service and explicitly tick the box authorising us to look at the attached file and its converted result, you grant us an additional, narrow licence to inspect those specific files for the sole purpose of investigating the issue you reported and improving the Service. We do not access them otherwise, and you can always submit feedback without ticking that box.
• We retain Your Content only for the periods stated in the Privacy Policy. After that, we delete it automatically.

9. Our intellectual property

The Service, including its software, AI processing pipeline, prompts, models, design, branding, and documentation, is owned by Ledger Tome and protected by intellectual property law. These Terms do not grant you any rights in our intellectual property other than the limited right to use the Service as intended.

10. Accuracy of output

We work hard to extract transactions accurately, but the Service is provided as a productivity tool, not as accounting, tax, or legal advice. You are responsible for reviewing all output before using it for accounting, tax filing, audit, or any other consequential purpose. Always reconcile against the source document.

11. Email-conversion routes

Paid tiers include a feature that lets you forward bank or credit card statements to a unique address for automatic conversion. You are responsible for ensuring you have the right to forward those documents and that the recipient address is configured correctly. We may rate-limit or revoke routes that show signs of abuse or misuse.

12. Service availability

We aim for high availability but do not guarantee uninterrupted Service. The Service may be unavailable due to maintenance, sub-processor incidents, or events beyond our control. We will not be liable for losses caused by such interruptions.

13. Disclaimers

To the maximum extent permitted by law, the Service is provided "as is" and "as available", without warranties of any kind, whether express or implied, including warranties of merchantability, fitness for a particular purpose, accuracy, or non-infringement.

We do not warrant that:

• The Service will meet your specific requirements.
• The Service will be error-free or uninterrupted.
• Output will be 100% accurate for every document or institution.

Nothing in this section limits any rights you have as a consumer that cannot be excluded under mandatory local law.

14. Limitation of liability

To the maximum extent permitted by law:

• We are not liable for indirect, incidental, special, consequential, or punitive damages, or for lost profits, lost data, or lost business opportunities.
• Our total aggregate liability arising from or relating to these Terms or the Service will not exceed the greater of (a) the amount you paid us in the 12 months before the event giving rise to the claim, or (b) EUR 100.

These limitations apply regardless of the legal theory of the claim, and to the fullest extent permitted by law. Mandatory consumer protections in your country of residence are unaffected.

15. Indemnity

You agree to defend and hold us harmless from any claim, loss, or expense arising from your misuse of the Service or violation of these Terms, including claims that documents you uploaded infringed someone else's rights.

16. Suspension and termination

We may suspend or terminate your access to the Service at any time if:

• You materially breach these Terms.
• We are required to do so by law.
• We believe your activity poses a risk to the Service, other users, or third parties.

You may stop using the Service at any time by deleting your account.

17. Changes to these Terms

We may update these Terms from time to time. The "Last updated" date at the top reflects the most recent change. If a change materially affects your rights, we will notify you by email or through the Service before it takes effect. Continuing to use the Service after the change takes effect means you accept the updated Terms.

18. Governing law and venue

These Terms are governed by the laws of Finland, without regard to conflict-of-laws principles. Disputes that cannot be resolved through good-faith discussion will be brought exclusively before the District Court of Pirkanmaa (Tampere), Finland, unless mandatory consumer-protection laws of your country of residence allow you to bring proceedings in your local courts.

19. Miscellaneous

• Entire agreement. These Terms, together with the Privacy Policy and any plan-specific terms presented at checkout, are the entire agreement between you and us regarding the Service.
• Severability. If any provision of these Terms is found unenforceable, the remaining provisions stay in effect.
• No waiver. Our failure to enforce any right is not a waiver of that right.
• Assignment. You may not assign these Terms without our consent. We may assign them in connection with a merger, acquisition, or sale of assets, on notice.
